Create and Connect Promotional (Discount) Codes

General Info

Promo codes are a great way to incentivize or reward folks for booking! 

Promotional Codes are connected to the fee charged for Participant Category. They can be a positive or negative amount.

Example One

You have a Participant Category registration costing $1,000. You want to charge paticipants who use the code $800 instead.

You would create a Promo Code and put $800 in the amount section. This would drop the $1000 fee to $800 for anyone using the code.

Example Two

You have a Participant Category registration costing $0. You have an activity called "Registration Fee" which costs $1,000. You want to charge participants who use the code $800 instead.

Because the funds are attached to an activity, if you put a price in the Promo Code field, it would charge the participants more money ($800 instead of $0). Instead, you'll need to add a negative amount into the Promo Code field, as seen below. Using a cost of -200 will take $200 off of the $1,000 registration, ultimately charging the $800 you're looking for.

Create and Connect Promotional (Discount) Codes

  1. Click Promotional Codes (left sidebar)
  2. Click +Add
  3. Type in the name you want to use for your promo code 
    1. Note! The system only accepts the code exactly as written. Ex: if you use all caps, it will only accept a code in all caps.
  4. Click Save
  5. Optional! Want to add a cutoff date/time for this promo code?
    1. Click the pin next to the code you've just created
    2. Add an end day and time
    3. Click Connect to all categories
  6. (We've now added the phrase in as a code. It's now time to connect it!)
  7. Click Participant Categories
  8. Click Edit (next to registration fee)
  9. Click Promotional Codes (green button)
  10. Click the check mark next to the promotional code(s) you'd like to add to this category
  11. Click Ok
  12. Add the price the discount code will make the registration
  13. Optional! If you didn't add a cutoff date earlier, you can do so by clicking on the lock icon next to the code name
  14. Click Save
  15. Repeat for all categories this code will be valid for
    1. Tip! You can use the same code for different categories, and have different prices listed for each! 

Where does this appear?

If your category has an active discount code attached, a new section will appear on the Summary Page. The Promotional code section will appear!

If yours shows the word Activate and you'd like to change it to Apply

  1. Click on the settings wheel next to the participant category
  2. Click Flex Settings
  3. Click Word for Web
  4. Type in Activate
  5. Type the new word in (for example, here we changed it to Apply)
  6. Click Save!
